How Can You Prepare Users Before Moving Teams to Another Tenant?

User preparation is one part of a Microsoft 365 migration that can easily be overlooked. Administrators usually focus on moving Teams, channels, and files, but employees also need to know what is changing and what they should expect after the migration.

Before starting, I would create a clear list of users who are moving and confirm their source and destination accounts. This becomes especially important when employees receive new email addresses or usernames in the destination tenant. A proper mapping between old and new accounts can prevent access problems later.

It is also useful to identify which Teams are actively used and which ones contain important business information. Not every Team may need to be moved in exactly the same way. Some may contain historical conversations or files that need to be retained, while others may be obsolete and can potentially be excluded after review.

The Migrate Teams from One Tenant to Another process should also account for private and shared channels. Their membership can differ from standard Teams, so simply recreating the Team structure may not provide users with the same access they previously had.

Another consideration is file access. Teams relies heavily on SharePoint for channel files, while files shared through individual chats can involve OneDrive. Users should know where their files will appear after the transition and which old links may need to be replaced.
