Sometimes, an OST archive contains thousands of emails, but only a specific set of messages is needed. For example, an administrator may need emails from a particular date range, messages exchanged with one customer, or records containing important attachments. Exporting everything without filtering can create unnecessary output and make verification more difficult.
The first step is to find a way to inspect the OST file and identify the required messages without depending on the original Outlook profile. This is especially useful when the file belongs to a decommissioned Exchange account or an inactive Microsoft 365 mailbox.
The SysInfo OST Viewer Tool is designed to open and preview OST files independently of an active Outlook, Exchange, or Microsoft 365 profile. It includes search options for From, To, Subject, attachment presence, and date range, which can help users locate specific messages in a large mailbox.
After previewing the results, users can export data to PST, EML, MSG, PDF, MBOX, or CSV. The software also provides attachment-handling choices, including retaining attachments, extracting them separately, or excluding them where supported. These options can be useful when preparing a smaller archive for review or transferring selected records into another workflow.
The tool's demo version permits preview and export of up to 100 emails per folder, giving users an opportunity to evaluate the results before purchasing a licence.
For safer handling, keep the original OST file unchanged, work on a separate copy, and verify the exported message bodies, attachments, timestamps, and folder organization. If the records are needed for a formal investigation, use an established evidence-preservation process rather than relying on export functionality alone.
