I had to do this when I wanted to keep an offline copy of my Office 365 mailbox. The easiest method for me was using Outlook’s Export/Import option: open Outlook, go to File > Open & Export > Import/Export, select Export to a file, choose Outlook Data File (.pst), select the mailbox or required folders, and save the file to a suitable location. If you have a large mailbox or need to preserve data from multiple accounts, the built-in method can take quite some time. In my case, I used SysTools Office 365 Export Tool because it made the process easier and let me export mailbox data in a more organized way without relying entirely on Outlook.
