Enterprise Email Migration Planning – How Do You Handle Large Mailbox Transfers Efficiently?

Our IT department has been assigned the task of migrating several years of corporate email data from multiple sources into a centralized Microsoft 365 environment. The project includes Outlook PST files, IMAP mailboxes, archived user accounts, and shared departmental mailboxes. Because many of these mailboxes contain business-critical information, preserving data integrity is far more important than simply completing the migration quickly.

While researching available solutions, we found the DRS Softech Email Migration Tool and noticed that it combines Outlook file migration with IMAP-based migrations, which could simplify administration. Features such as mailbox preview, batch account processing, advanced filtering, incremental migration, duplicate handling, attachment management, and migration reporting appear valuable for organizations handling large numbers of users.

Our migration plan also includes pilot testing before the full rollout, along with verification of mailbox counts, folder hierarchy, contacts, calendars, and attachments after every migration batch. Security and compliance teams have requested detailed migration logs, and management wants minimal disruption to employees during business hours.

Another challenge is dealing with different mailbox sizes. Some employees have only a few gigabytes of email, while executive mailboxes exceed 100 GB with years of archived correspondence. Because of this, we're evaluating whether automation can significantly reduce manual work compared to traditional migration methods.
