Exchange 2019 to Office 365 Migration Strategies: Saving Time & Avoiding Downtime

Hey all,

I wanted to start a discussion around one of the biggest challenges IT admins face today: migrating from Exchange Server 2019 to Office 365 (Microsoft 365) while minimizing downtime and keeping users productive.

From what I’ve learned, there are a few main strategies admins typically consider:

  • Manual migration methods – cutover, staged, or hybrid setups. These can work, but they’re often complex, time-consuming, and require strong PowerShell skills. Downtime is also a risk if things don’t go as planned.
  • Hybrid Exchange deployments – good for larger organizations that want coexistence between on-prem Exchange 2019 and Office 365. But again, configuration can be tricky and requires proper planning.
  • Third-party migration tools – designed to save time and reduce risk. For example, tools like the Shoviv Exchange Migration Tool simplify mailbox moves, support incremental migration, handle public folders/archives, and ensure zero downtime during cutovers.

Key factors I think are worth discussing:
